We get paid by the hotels for bringing your business their way, which means you don’t pay a thing! It’s a win-win—no extra cost for you, and you still get to save big while we work our magic behind the scenes to secure the best deals and perks.

If you’re already set on your perfect hotel(s) and have no further questions, just let us know which one(s) you’re leaning toward, and we’ll take care of the rest. Do we reach out to the hotel directly when it’s time to lock in a block of rooms?

You’ll be teaming up with Engaged Sourcing every step of the way—finding the perfect hotels, negotiating like pros, and securing that room block with ease! By letting us handle it all, we’ll make sure to carefully review every piece of paperwork, so nothing surprising slips through the cracks. Plus, we’ll ensure you and your guests get all the awesome perks we’ve negotiated—no detail left behind!

How many rooms should we hold to start?

Here’s a handy rule of thumb: block enough rooms for about 60% of your out-of-town guests. So, if you’ve got 150 guests invited and expect 100 of them to travel, we’d recommend reserving enough rooms for around 60 guests—that’s roughly 30 rooms per night. This number takes into account all those factors like guests grabbing an Airbnb, staying at your fave hotel, doubling up on rooms, or maybe even crashing in a different neighborhood. It’s all about making sure you’ve got enough space for everyone, without overbooking!

Can we hold rooms at multiple hotels?

Ah, the age-old hotel dilemma! If your friends and family already know each other, offering up to two hotels at different price points shouldn’t be a problem—after all, they’ll already have the "mix-n-mingle" thing down! But, if your wedding will be the first time many of your guests are meeting, we recommend keeping it simple with just one hotel. That way, everyone will be under the same roof, running into each other at the bar or restaurant, and bumping into each other before/after the wedding. It’s a recipe for new memories and lots of laughs!

Once the block(s) are locked in, how do we track bookings?

Plus, if any of your guests run into hiccups or need help with special requests, we’re always ready to step in and keep everything running smoothly. Can we start with fewer rooms and add more later?

Definitely! If your initial room block fills up, no worries—we can always ask the hotel(s) to add more rooms, and most of the time, they’re happy to accommodate. The only thing to keep in mind is that while we can make the request, the hotel’s ability to say "yes" depends on a few things, like their current occupancy, local demand, and any rate changes going on. But don't worry, we'll do our best to make it happen!

Since we’re juggling multiple hotels, sourcing, negotiating, and contracting all at once, it’s tough to give you every single policy detail without overwhelming you!
