FAQ
We know weddings come with a million little details—so we pulled together the top questions couples and guests ask us most about the Room + Ride Package.
frequently asked questions
Is it possible to split the costs with our guests?
Yes! Since Engaged Sourcing manages the transportation directly, we can make special arrangements for couples who want to help offset costs for their guests. For example, if shuttle service is $60 per person, we can structure it so guests pay $30 when booking and the couple covers the remaining $30 behind the scenes.
This flexibility makes it easy to treat your guests to a more affordable ride while still ensuring the shuttle minimums are met and the service is seamless.
💡 Pro Tip: Cost-sharing is a great way to encourage more guests to book the shuttle early and guarantee the best fit in vehicle size.
What happens if not enough guests book shuttle add-ons?
To secure the shuttle(s), the total number of guest add-ons must meet the cost of the vehicle size selected (30, 40, or 55-passenger coach). If the minimum number of seats is not covered through guest add-ons, couples will be required to cover the difference.
💡 Example: If a 40-passenger coach is reserved, 40 guest add-ons are required. If only 30 are purchased, the couple can either cancel the shuttle or pay for the remaining 10 seats ($600 total).
Can shuttles pick up at multiple hotels?
Absolutely! Shuttles can accommodate up to two pickup locations as part of the package, making it easy for guests staying at different hotels within the block. This flexibility ensures everyone has a safe and reliable ride to and from the wedding events.
💡 Pro Tip: For the smoothest guest experience, we recommend centralizing blocks to one or two hotels whenever possible.
Who pays for cleaning fees if needed?
Any additional cleaning fees assessed by the transportation provider are the couple’s responsibility. While normal post-event cleanup is always included, fees may be charged if a shuttle requires extra attention due to spills, food or beverage messes, or other damage caused during service.
💡 Pro Tip: Encourage guests to keep snacks and open drinks to a minimum on the ride—it keeps the shuttle fresh and avoids unexpected charges later!
Are early loops for the wedding party included?
Early loops for wedding party members or vendors are not included in the standard Room + Ride Package. The package is designed to cover guest transport only, with one trip to the venue, one early return loop for guests, and one final trip back at the end of the celebration.
That said, special rates are available if couples wish to schedule additional early loops for the wedding party (for example, transporting bridesmaids, groomsmen, or family members who need to arrive before guests). These arrangements can be customized to fit the timeline of hair and makeup, first looks, or pre-ceremony setup.
💡 Pro Tip: If your wedding party needs separate transport earlier in the day, let us know during the planning phase—we’ll help you build a timeline and secure the right shuttle option so everyone arrives on time and stress-free.
Can guest use loyalty points and still ride the shuttle?
Shuttle service is only available to guests who book their hotel room directly inside the wedding block with the transportation add-on selected at the time of booking. Reservations made with loyalty points, free night certificates, or through third-party sites (Expedia, Hotels.com, etc.) will not be connected to the group block and therefore cannot include shuttle service.
This policy ensures that transportation is properly coordinated and that enough add-ons are reserved to cover the cost of the shuttle(s). Guests who wish to use loyalty points are welcome to do so for their room stay, but they’ll need to arrange their own transportation to and from the venue.
💡 Pro Tip: For a seamless experience, we always recommend booking through the block with the add-on—this way, your room and ride are confirmed together!
How many hours of transportation are included?
Each Room + Ride Package includes approximately 8 consecutive hours of service on the wedding day. This coverage is designed to align with the flow of the celebration and ensure guests are taken care of from start to finish.
Here’s what’s typically included within those 8 hours:
-
One trip to the venue – Timed so guests arrive before the ceremony.
-
One early return loop – For guests who wish to head back before the reception ends.
-
One final trip after the party – Making sure everyone gets back to the hotel safely.
Couples who need more time or additional loops can always add custom options at special rates.
💡 Pro Tip: Hosting a late-night after-party? Add on an extra stop for $100 to keep the celebration going seamlessly.
How do guests book shuttle service?
Booking shuttle service is simple—it’s part of the hotel reservation process! When guests are reserving a room inside the wedding block, they'll see the option to add-on transportation. By selecting this add-on, it'll secure a seat on the shuttle and secure a hotel room at the same time you.
A separate charge, per person, will be processed for the shuttle add-on within a few days of booking. Engaged Sourcing will then coordinate the full shuttle schedule and deliver to the hotel before the wedding weekend, so the details are ready and waiting for guests at check-in.
💡 Pro Tip: Shuttle service is only available to guests who book directly within the block and select the add-on at the time of booking. Reservations made with points or third-party sites cannot include shuttle access.
Can we add an after-party stop?
Yes! Couples can add a late-night stop to keep the celebration going after the reception. An additional fee of $100 applies to extend the service for an after-party location of your choice. The shuttle will take guests from the venue directly to the designated after-party stop before returning to the hotel.
💡 Pro Tip: Adding this stop is a great way to keep the energy alive and ensure everyone gets there safely together—no need to worry about rideshares or parking!
